Privacy Policy

Who we are

Inverurie Choral Society is a registered charity in Scotland – Charity No SC034022. Our website address is: https://www.inveruriechoral.co.uk.

Our Commitment to Privacy

Your privacy is important to us. To better protect your privacy we provide this notice to explain the way your information is collected and used. This notice can be found on our website and will be available where personally identifiable information may be requested.

The Information we Collect

We will only collect and store information about you with your consent, except where necessary to comply with the law. You give us your consent by providing us with your personal data (e.g. email) when making an enquiry.

Members Information:

Specific further consents are requested when you join Inverurie Choral Society. We collect the following information: your name, address, email address, telephone number and voice type. We use this information to administer the activities of Inverurie Choral Society, and to pass on information or requests, particularly in emergencies such as bad weather or rehearsal venue changes at short notice. Other data may subsequently be collected in relation to your membership, including your payment history for subscriptions.

General Enquiries:

If you contact us by email or via the enquiry form on our website, we may keep a record of your enquiry including your contact details. These details are not used for any other purpose and are not shared with outside parties.

Participating in Events

An individual’s name, contact details and other relevant information may be collected by Inverurie Choral Society when a booking is made for a concert or event. This may be used to contact the individual about their booking.

We Ensure Data Collected is Relevant and Not Excessive
(& Data Retention)

We will not collect or store more data than the minimum information required for its intended purpose.

We ensure data is accurate and up-to-date, and we will ask members to check and update their data from time to time.

We ensure data is not kept longer than necessary: we will keep data on individuals for no
longer than 12 months after our involvement with the individual has stopped, unless there
is a legal requirement to keep records. We will archive the names (but no other details) of
past members for historical records.

We process data in accordance with individuals’ rights: members can request to see any
data stored about them, and request that any inaccurate data held on them is updated or
deleted.

Information our Website Collects:

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

If you contact us using our website contact forms, the metadata, including your IP address may be checked and logged by our spam prevention systems.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Comments (on the website)

Comments are disabled across this site. If, in exceptional circumstances, we allow comments, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

A cookie is a small text file that is downloaded onto ‘terminal equipment’ (e.g. a computer or
smartphone) when the user accesses a website. It allows the website to recognise that user’s
device and store some information about the user’s preferences or past actions.

Inverurie Choral Society uses cookies on our website www.inveruriechoral.co.uk in order to
monitor and record their activity. This allows us to improve users’ experience of our website by,
for example, allowing for a ‘logged in’ state, and by giving us useful insight into how users as a
whole are engaging with the website.

We will implement a pop-up box on www.inveruriechoral.co.uk that will activate each new time a
user visits the website. This will allow them to click to consent (or not) to continuing with cookies
enabled, or to ignore the message and continue browsing (i.e. give their implied consent).

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

We do not share your data with any other organisation or individuals. Members data is shared with other members only when consent is given to do so, and for the purposes of Member to Member contact only.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
